Why is a GIS necessary?

Many organisations suffer from the "silo effect". This is defined as “A lack of communication and common goals between departments in an organisation”. This creates the potential for:

  • Inefficiencies
  • Errors
  • Lost Opportunities

Information silos can consist of any number of things but the most common are

  • Databases
  • Paper documents/drawings
  • Photographs
  • Spreadsheets

As well as inefficiencies and unnecessary cost, poor information systems can impact on *Best practice*. This covers all aspects of the business from currency and accuracy of information to the quality of the work that is produced. For instance

  • Is the information in existing silos accurate and up to date? If not how does this impact on the service provided to your customers?
  • Are you able to generate useful reports? If not is this leading to inefficiencies and unnecessary cost?
  • If you don’t currently have a GIS what mapping is used to support right to buy and stock transfer processes? Do you have an archive of old OS maps that are simply drawn on and copied? If so this is very likely to sit outside of OS copyright. Does this non-compliance leave both you and your customers vulnerable?
  • Do current systems allow the organisation to be pro-active and dynamic? In other words do you have existing systems that enable you to plan development strategies for expansion?

Our GIS can ensure best practice in all of the above.

According to research 85% of information in an organisation has a geographic component which makes a GIS the best way to bring together materials stored in disparate locations, applications and file formats. In effect a GIS creates a central “Clearing House” while also offering all users a single interface. The benefits of such a system are clear:

  • Time saved in requests for information
  • Potential savings in staffing costs
  • Data can be retrieved quickly when it is needed
